February brought a wave of exciting updates to the iERA reporting system! These enhancements focus on empowering coordinators, admins, and super admins with even more tools to streamline their workflows and gain valuable insights. Let’s dive into the details..
Empowering Coordinators and Admins.
1. Profile Pics for Outreach Specialists.
Now you can put a face to the name! Coordinators can upload profile pictures for their outreach specialists, giving everyone better visibility within the system.
Previously, the iERA reporting system only allowed profile picture uploads for coordinators, district heads, and country admins. This meant that Outreach Specialists (OS), the backbone of our outreach efforts, weren’t represented with a face.
Now, coordinators can upload profile pictures for their outreach specialists directly within the system. This update fosters a more collaborative environment and helps everyone put a face to the name.
Here’s how it works:
- Click the avatar icon next to the Outreach Specialist’s name.
- A modal window will appear, prompting you to “Select File” from your device.
- Choose the desired picture and click “Upload”.
That’s it! The picture will be uploaded and displayed within the system as demonstrated below, visible to district heads, country admins, continental admins, and super admins.
This update fosters better team recognition and strengthens communication across all levels of the organization.
2. Contract Management Made Easy.
Introducing the all-new Duats Contract Management platform! This streamlined system lets you manage OS and Duat contracts efficiently, with features like filtering by status, individual management, and handling renewals, terminations, and promotions.
Previously, managing Outreach Specialist (OS) contracts involved navigating a scattered system. But fear not, Duats (coordinators and district heads)! February’s update brings you the all-new Duats Contract Management platform, designed to streamline contract oversight and empower you to effectively manage teams.
This intuitive platform offers a one-stop shop for all things contract-related:
- Filter by Status: Quickly view active contracts, identify those nearing expiration, or track terminated contracts for easy reference.
- Individual Management: Need to focus on a specific OS or Duat? The platform allows you to select individuals and manage their contracts efficiently. This includes functionalities like:
- Renewals: Seamlessly extend contracts with just a few clicks.
- Fee Revisions: Easily adjust contract fees as needed.
- Promotions: Recognize outstanding performance by promoting Outreach Specialists to Coordinator or District Head roles within the system.
- Terminations: Manage contract terminations efficiently when necessary.
- Reassignments: Following termination, effortlessly reassign Outreach Specialists to new teams or projects.
With the Duats Contract Management platform, you have complete control over your team’s contracts, saving you valuable time and ensuring a smooth workflow.
Deeper Data Analysis:
3. Shahada Insights:
We’ve fine-tuned how we track shahadas. The system now flags not only exceptionally low shahada numbers but also unrealistic highs, prompting investigation and ensuring data integrity.
“Too Low Shahadas” Flag: If shahada numbers fall significantly below expectations, the system will raise a red flag, prompting you to investigate potential causes and ensure outreach activities are optimized. If an Outreach Specialist (OS) falls short of the one shahada per day benchmark, the system flags their performance as unsatisfactory.
“Too High Shahadas” Alert: Conversely, the system will also identify unrealistically high shahada numbers. This might indicate data entry errors or require further investigation to maintain data integrity.
4. Compulsory Inclusion of New Muslim Class Photos
Previously, verifying the authenticity of New Muslim classes relied solely on reported numbers. But ensuring data accuracy is crucial for our outreach efforts! That’s why February’s update introduces a key improvement: Compulsory Inclusion of New Muslim Class Photos.
Here’s what this means:
- Verification Through Photos: Coordinators are now required to upload a photo alongside every New Muslim class record created in the system. This photo serves as visual proof of the class taking place and the attendees participating.
- Enhanced Data Integrity: Photos add a layer of verification, helping to ensure the accuracy of reported data on New Muslim class attendance.
- Transparency and Accountability: Mandatory photos promote transparency within the organization and hold everyone accountable for achieving outreach goals.
How it Works:
- When creating a New Muslim class record, coordinators will see a prompt to “Add Photo”.
- Clicking the prompt opens a file selection window where the coordinator can choose a relevant photo from their device.
- Once a photo is selected, uploading it finalizes the class record creation process.
5. New Muslim Attendance percentages based on New Muslim type.
Ever wondered what sparks a new Muslim’s journey? Our reports now provide a deeper understanding by categorizing new Muslim class attendance based on the activity that led them there. This could be door-to-door outreach, a Mass Dawah event, or even a Mega Mass Dawah gathering.
Imagine this: You can now see how many new Muslims came to a class after a personal conversation with an Outreach Specialist, or how many were inspired by a larger community event.
This means you can now see, within your reports:
- The percentage of new Muslims attending classes who came through door-to-door outreach.
- The proportion of new Muslims who found Islam through Mass Dawah events.
- The percentage of attendees who were introduced to Islam via Mega Mass Dawahs or New Muslim classes themselves.
This data breakdown allows you to:
-
- Identify the most effective outreach methods: By analyzing which activities are leading to the most new Muslim class attendees, you can focus your efforts on the most impactful strategies.
- Optimize your outreach efforts: Knowing where your new Muslims are coming from empowers you to tailor your outreach activities to specific audiences and maximize conversions.
- Track progress and measure success: Detailed attendance data by source lets you track the effectiveness of your outreach programs over time and measure your progress towards achieving your goals.
6.”Shared Islam With” Takes Priority.
We’ve reorganized the data flow in reports! Now, “Shared Islam With” numbers appear before Shahadas, reflecting the logical order of outreach activities.
Previously, “Shahada” numbers took center stage, which doesn’t reflect the full story. Now, reports prioritize the “Shared Islam With” figures, followed by Shahadas. This shift aligns better with the outreach journey, where introducing Islam often precedes witnessing a formal conversion (Shahada).
Think about it: someone might have a conversation with an Outreach Specialist about Islam, sparking their curiosity. Later, they attend a New Muslim class to learn more. Finally, after a period of exploration and reflection, they might choose to declare their shahada.
By prioritizing “Shared Islam With” data, you gain a clearer picture of your outreach impact. You can see how many people are being introduced to Islam for the first time, planting the seeds for future conversions.
Other Improvements
7.Latin America Onboarding.
We’re thrilled to welcome our brothers and sisters in Latin America on board the iERA reporting system! This month, we initiated a pilot program, kicking things off with representatives from Ecuador and Mexico.
Here’s a glimpse into the progress:
- System Overview Sessions: We held comprehensive sessions to introduce Brother Raphael from Mexico and Sister Sanchez from Ecuador to the iERA reporting system’s functionalities, analyses, and overall purpose.
- Training : Following these introductory sessions, we’re now scheduling in-person training sessions to equip them with the hands-on skills needed to effectively utilize the system.
We’re excited to have them join the iERA community and anticipate their valuable contributions. Stay tuned for further updates on the progress of our Latin American pilot program!
